Before you start

  • You add rhinestones, flock/template, transfer/carrier tape, and garments on the existing Supplies, Vinyl & Transfer, and Blanks pages. No new category of inventory is created — Rhinestone Studio reads the shared stock.

Set up rhinestone materials

Get every material behind a rhinestone design into your shared inventory with accurate costs so costs to make and jobs are priced correctly.

  1. On the Supplies page, add each hotfix rhinestone size/color as its own supply with unit set to each. Enter the quantity as the total stones on hand and the unit cost as the per-stone cost (package cost ÷ stones per package).

  2. Use the per-stone cost helper on Rhinestone Studio → Materials & Blanks to check package cost ÷ stones per count before you save the supply.

  3. On the Vinyl & Transfer page, add flock/template sheets or rolls (material type Flock Template) with width and length so area-based usage is costed correctly.

  4. Add transfer or carrier/masking tape on the same page (material type Transfer Tape) with width and length.

  5. On the Blanks page, add your garment or base items (T-shirts, hoodies, hats, totes) with quantity on hand and cost per item.

  6. Return to Rhinestone Studio → Materials & Blanks to confirm the filtered shared inventory appears for this workspace.

What happens next

Your rhinestone materials are stocked and costed. Build a cost to make next to estimate true cost per garment or multitransfer run.

Cost and plan rhinestone products

Turn your stocked rhinestone materials into a true per-item cost and a planned production job you can confirm once the physical build is done.

  1. Optional: open the Calculators tab and use Rhinestone Design Pricing with the stone counts from your design software for a quick price. Stone Size Helper, Team & Bulk Quote, Price Sheet, Capacity Planner, and Craft Fair Booth Planner are there too.

  2. Open Rhinestone Studio → Products & Pricing and price a new product using the Hotfix Rhinestone method.

  3. Add a supply line for each stone size/color in the design and enter the quantity per item as the stone count for one garment.

  4. Add dimensional material lines for the flock template and the transfer/carrier tape; set the design geometry (width × height) so area cost is calculated, or enter the area quantity directly.

  5. Add a blank line for the garment, plus labor and machine time lines for pressing/cutting, and design/license/setup as a design-license line.

  6. Set waste on stone, template, and tape lines to capture losses during weeding and placement. Review cost per item, suggested price, and margin.

  7. Save the cost to make; it appears under Products & Pricing. Open Orders to Make → Plan an order to plan from the saved cost to make with a single-garment or multitransfer quantity and the non-deducting stages (Design & count, Cut template, Prepare & place stones, Apply transfer, Press / finish, Quality check).

  8. When the physical build is complete, choose Mark as made — this deducts the exact stones, template, tape, and blank exactly once via the shared server action. Drafts, plans, and queues never touch stock.
